How to hide private data in a PDF properly: a black box is not enough

Your files are never uploaded to a server. Everything runs on your device.

People often hide an ID number or an amount by drawing a black box on a PDF. In many viewers the text is still there under the box, and anyone can select it, copy it or find it with search. Documents have been leaked exactly this way.

Why a black box can fail

A rectangle drawn in an editor is just another object lying on top of the page. The text underneath stays in the file. Select the area, copy it into a notepad and the hidden words appear. Search and screen readers find it too.

What real redaction does

Real redaction removes what is under the box instead of covering it. Redact PDF draws black boxes on the pages you choose and then rebuilds those pages as flat images, so the text underneath no longer exists. The trade-off is that redacted pages cannot be selected any more and the file can become larger. Compress PDF helps with the size.

A checklist before you send

Other places where data hides

Visible text is not the only place. A PDF stores the author, the software and dates as metadata, and it can contain attachments, comments and links. PDF X-ray shows what a file reveals, and Remove PDF metadata erases the hidden properties.

When you need something official

Some courts, authorities and companies have formal rules for redaction and may require a particular procedure. If the document is part of a legal process, check those requirements before you rely on any tool.
